This article covers how to:
Understand Confirmed and Unconfirmed Schedule Items
Filter Your View in the Schedule Section
Locate the Schedule Section
There are a few ways you can get to the Schedule section in Master Tour:
- Selecting the Schedule Section in your Master Tour nav.
- Tapping on the Go to Schedule button at the bottom of the Dashboard Schedule list view on your selected date.
Add Schedule Items
To add a new Schedule Item, just click on the + button in the top right corner of the Schedule section, and it will create a blank Schedule Item that you can add info to:
Here, you can enter the Schedule Item's Title, then its Start Time, End Time, and other Details. You can either type in Start and End Times, or click on the clock icon of a time field to select from a dropdown list of times. The Day Of and Day After settings determine if the time is on Day Of the chosen Tour Date, or if the time is technically the Day After the selected Tour Date, and you want it to appear on this Tour Date's Schedule.
Understand Confirmed and Unconfirmed Schedule Items
All Schedule Items are entered with a status of Unconfirmed and will appear as Unconfirmed on the Master Tour Mobile app, my.eventric.com, and the Master Tour desktop application.
All Unconfirmed schedule items are displayed in grey on the schedule list view and will have a red Unconfirmed text indicator when the specific schedule item is opened. Checking the Confirmed box found in the top right corner in the editing section of a schedule item will change that Schedule Item's color to blue in the schedule list view, and show a green Confirmed text indicator when the specific schedule item is clicked into.
Use Display Time As
Each Schedule item can have its time displayed as:
- Exact - this is the default setting and will show your precise Start and End Times.
- Approximate - this setting will display your Start and End Times, but with a ~ symbol in front to indicate Approximate times.
- TBD - this setting will place your Schedule Item at the Start and End Times of your choosing on your Schedule's timeline, but will display "TBD" instead of the Start and End Times.
-
Hidden - this setting will place your Schedule Item at the Start and End Times of your choosing on your Schedule's timeline, but will not display any Start or End Times.
Set Visibility
Here, you can apply Visibility of a Schedule Item to either a single User, a Group of Users, or any combination of Users and Groups. Whoever is listed in the visibility setting will have the ability to view that specific schedule item. Keep in mind that if a User has Manager permissions or higher, they will still be able to see all Schedule Items on Tour Dates.
By default, all new Schedule Items are visible to all Users in your Organization. This means that if your Tour is marked as Visible and you add a new Schedule Item to a Tour Date, all Users added to your Organization will be able to see that new Schedule Item until you apply a Visibility setting to it.
You can add visibility to your schedule item by selecting the Visibility option within the editing section of your schedule item. Inside there you can select the users and/or user groups that are permitted to view the schedule item.
Schedule Items that have Visibility set will appear with an Eye icon on the right side in the schedule list view:
If you click on a Schedule Item with Visibility applied, you'll see the Groups and/or Users that have Visibility in the Schedule Item's detail:
Add Reminders
You can also Add Reminders - this will send push notifications regarding particular schedule items to the Users the item is visible to:
In the information fields that appear below after selecting + Add Reminder, you can enter when you would like your crew to receive their reminder, and include any details necessary.
Once a Reminder is set on a Schedule Item, you'll see a Bell icon show up on the right side of the item in the schedule list view, and a more detailed note of the reminder when the item is selected into:
Use Publicity
Schedule Items can also show additional fields for entering Publicity info. To use this, just change the schedule item type to Publicity through the dropdown selector in the top left of the newly created schedule item.
At the bottom you will see additional fields appear for the Publicity section of your schedule item. Here, you can choose your Publicity Type (Meet & Greet, Appearance, Live Broadcast Phone Interview), Type (Phone, Radio, Tv Interview or Other), Status (Approved, Pending, Declined), and further facts such as location, party, interviewer, and notes. These fields will change based on which Publicity Type you select, and you can fill out any necessary information for the Publicity item.
Filter Your View in the Schedule Section
You are able to filter the schedule list to show specific types of schedule items that exist on the selected tour date, and any items containing User Group visibility as well. This can be done by selecting the Filter icon in the top left of the screen, and Check Marking either Schedule type or User Group in the dropdown menu that appears.
Copy a Schedule Item
Individual Schedule Items can be copied to your phone's clipboard within the Master Tour mobile app. To copy a specific item, press and hold over the text until you see the Copy button appear above it. Select that button, and the text will now be able to be pasted on your mobile device.
Copy an Entire Schedule
To copy an entire Schedule for a specific tour date, tap on the Share icon located in the top left corner of your screen. This will copy all Schedule items to your clipboard, and be able to be pasted elsewhere on your mobile device.
Remove Schedule Items
To delete a Schedule Item, click on that item, select Edit in the top right corner, and then click Delete Schedule Item in the bottom of the editing section:
